List and Library in SharePoint 2010: Learn How to Use Different Types of Libraries for Your Needs



Depending on how your site and servers are set up, the user you created an alert for might receive an email message that confirms that you created an alert. The alert email may provide links to the list or library, alert settings, the name of the user who created the alert, a mobile view, and other information and commands.

When versioning is enabled in your list or library, you can store, track, and restore items in a list and files in a library whenever they change. Libraries can track both major versions, such as those in which a new section was added to a document, and minor versions, such as those in which a spelling error was corrected. Lists can track only major versions. For more information on versioning, see How does versioning work in a SharePoint list or library.


If you are working with a Microsoft Office document, such as a Word, Excel, or PowerPoint file, you can view version history from the app view rather than returning to the list or library to view the history.


Versioning is on by default in SharePoint libraries, and off by default in SharePoint lists. Versioning needs to be turned on to see the version history option on menus or in ribbons. To turn on version history, see Enable and configure versioning for a list or library.


When you set up versioning, you set a maximum number of versions to save. When the maximum number of versions are saved, SharePoint deletes the oldest to accommodate newer versions. You can set SharePoint to save more versions, up to the system limit. For more info, see How does versioning work in a SharePoint list or library.


In the View Name box, type the name for your view. Select Make this the default view if you want to make this the default view for the list or library. Only a public view can be the default view for a list or library.


Standard View This view displays your list and library items one row following another. Standard view is the default for most types of lists and libraries. You can customize the view in many different ways, such as by adding or removing columns from the view.


Calendar View This view displays your list and library in a format similar to a wall calendar. You can apply daily, weekly, or monthly views in this format. This view can be helpful if you want to see the items in the list or library chronologically. To use this view, your list or library must contain columns with start dates and end dates for the calendar items.


Gantt View This view displays list and library items in bars that track progress. A Gantt view can help you manage projects. You can use this view, for example, to see which tasks overlap each other and to visualize overall progress. To use this view, your list or library must contain columns with start dates and end dates.


Views have many settings to help make it easier for you to quickly find the information that you need in a list or library. The following are the settings for SharePoint views. All settings are not available for all types of views. The settings for calendar views differ from other types of views.


Default view All lists and libraries have a default view, which is the view that people see when they go to the list or library. You can change the default view to any public view for that list or library. but you cannot set a personal view as the default view. To delete a view that is the default view, you must first make another public view the default for that list or library.


If Create View is disabled when you try to create a view, you do not have the proper permissions to create a view. If Create View is available, but the Create a Public View option is disabled you need to be in the Designer group or equivalent permissions. With Create a Personal View, you need to be in the Member group for the list or library, or have the equivalent permissions.


Columns The columns in a view contain the information that you need to see for list or library items. Columns, in combination with other features of views, such as filters, can help you see only the information that is most important to your work. This is especially helpful if the list or library contains lots of items. For more information about working with columns to create custom views, see Create a column in a list or library.


Filter Configure a view to display a subset of the items in a list or library by filtering them with information in columns of the list or library. For example, a view can show the documents in a library that are for a specific project.


Tabular View Provides check-boxes for each item so that users can select multiple list or library items to perform bulk operations. This can save lots of time if many items in a list or library must be changed. For example, a user can select and check out multiple documents.


Totals Displays summary calculations for the columns in the view, such as: count, average, maximum, minimum. By setting the title column to Count in a document library, for example, the view will display the number of documents in the view and in the groups in the view. The columns that are available for totals and the settings available for each column differ depending on the type of column, such as number, and the type of list or library the view is being created for.


Folders Select Show items in folders to display the list or library folders in the view with the items. Select Show all items without folders to display only the list or library items in the view, also referred to as a flat view. You may also be able to select whether the view that you are creating is applicable in all folders, in only the top-level folder, or in folders of a specific content type.


Before a list or library can receive email, the SharePoint site owner must enable and configure incoming email support for the list or library. A site owner can set up incoming email support for libraries (document, picture, or form), announcement and calendar lists, discussion boards, and blogs.


When you create a list or library, you can enable incoming email support for any of these types of lists or libraries, if incoming email support is enabled in Central Administration. This procedure includes specifying the email address for the list or library. However, all other configuration options are set to the default values when you create a list or library.


To enable or configure incoming email support for a list or library, you must have the Manage Lists permission on the list or library. The Manage Lists permission is granted by default to the Site name owner's SharePoint group.


In the Email Message section, choose whether to save the original email message in this list or library. If you choose Yes, the original email message is saved as an attachment (for Discussion boards and Announcement lists) or as a separate item in the library (for Document, Picture, or Form libraries).


When your list opens, add an item to your list by either selecting + New or Edit in grid view. (Grid view lets you add information freely to different rows or columns.)To add different types of information to the list, select + Add column. To learn more, see Create a column in a list or library.


How to create a Calendar List1. Log into your SharePoint 2010 site by going to 2. Under the proper site tab, select Lists.3. Within the List page, you may notice some defaulted categories. To create a new list, simple select the Create Icon at the top of the page.4. A new window will appear. Click on Sort By Lists to choose from the available templates. Choose Calendar to create a new Calendar list.5. When you select the Calendar button, to the right you can add the name of your new Calendar List or Select More options. 6. More options will allow you to name, Add a Description, Enable the Quick Launch URL for the Calendar and set it a a group Calendar.7. Select Create when you have selected the desired options.


Use the below PowerShell script to show or hide the list and library from the users for SharePoint On-Premise (SharePoint 2010, SharePoint 2013, SharePoint 2016, SharePoint Foundation). Just like the script written in above section, I have written a PowerShell script having the same function name but for on-premise environment.


As a SharePoint Administrator, you would often need to deploy content from onesite to another. So what are different options available to export the contentsof a site, library, or list from SharePoint and to import it back whenever required?


Granular Backup and Restore functionalities in SharePoint 2010 have grown uptremendously from previous versions. Now you can export sites, libraries, and listsfrom the Central Administration tool itself.


The SharePoint 2010 Central Administration UI allows you to export the site,library and list to the file system. Note that to import them back you need to usea PowerShell cmdlet or the STSADM tool. Central Administration does not have provisionfor importing it back.


Go to START -> All Programs -> Microsoft SharePoint 2010 Products ->SharePoint 2010 Central Administration, on the left side click on Backup andRestore link, then in the detail pane, click on Export a Site or listlink under the Granular Backup section as shown below:


On the next screen you need to select the site collection which contains thesite to be exported, and then select the site to export. If you want to export onlya specific library or list, select it as well (shown below). For example I am exportingthe Shared Documents document library of HR site.


The SharePoint 2010 Central Administration UI is not the only way to export asite, library, or list. SharePoint 2010 provides PowerShell cmdlets to export oreven to import them back whenever required. You can even script out these operationsto run manually or schedule them with the Windows Task Scheduler to make it runon a scheduled basis. 2ff7e9595c
